Tournament Registration Checklist for Local Leagues
Clean registration is the easiest way to protect tournament day.
Most tournament-day chaos starts at registration: unclear fees, missing partners, unpaid entries, or a waitlist nobody manages.
Use this checklist before you open entries for your next club event.
Before you open registration
Decide the rules while you still have time to write them clearly.
- Event list with skill/age divisions
- Entry fee, currency, and what the fee covers
- Open date, close date, and withdrawal deadline
- Refund policy in plain language
- Max events per player (if you offer multiple divisions)
- Partner rules for doubles / mixed
Make the player path obvious
Players should answer three questions in under a minute: Can I enter? What does it cost? When do I show up?
- One public tournament page with schedule and venue
- Mobile-friendly registration
- Confirmation message after entry
- Clear status: pending, approved, waitlisted, unpaid
While registration is open
Treat registration as an active operations queue, not a passive form.
- Review unpaid entries on a set cadence
- Confirm doubles partners early
- Manage the waitlist in order — no silent queue jumps
- Send one reminder before the close deadline
After registration closes
Freeze the approved list, publish the draw or pools, and stop accepting informal side deals that break fairness.
- Approve or reject remaining pending entries
- Publish the draw / pools with a timestamp
- Share check-in instructions and first-match windows
- Prepare the desk QR / passes if you use on-site check-in
FAQ
Should unpaid players appear in the draw?
Usually no. Keep unpaid entries out of approved lists until payment is recorded, unless your club explicitly allows pay-at-desk with a hold policy.
How long should registration stay open?
Long enough to fill the field, short enough to leave seeding and scheduling time. Many local events close 3–7 days before start.
